Start of School | Modernizing Data Connections

Priority Overview

This year, LEAs are required to configure and connect their Student Information System (SIS) systems to the Automated Data Transfer (ADT). This will automate the collection of section-level and student-level course data. Consistent with last year's collection, LEAs will submit course-level and school-level data through the Integrated Data Submissions (IDS).

Top Things to Know

Student and Section Data Collection

  • Student demographic, enrollment, contact, and attendance data is collected daily from your student information system (SIS) via the Automated Data Transfer (ADT) server to populate most OSSE data systems, including the State Longitudinal Data System (SLED), Special Programs, and the Integrated Data Submission Tool Transportation Request Dashboard. 

  • LEAs will have access to incoming students in the new special education system, Special Programs, as the student information system (SIS) transitions into the new school year.  LEAs will have access to students enrolled via MySchoolDC who are eligible for transportation in the Integrated Data Submission (IDS) Tool – Transportation Request Dashboard. This will allow for the timely submission of transportation requests for students new to the LEA.  Additionally, our Early Access Qlik applications for English learners, high school transition, and students with disabilities provide information to help alleviate any challenges. 

  • Certification for the Student and Section Course Data collected through ADT will happen three times a year, using the Qlik application, aligned with the existing Data Validation schedule. Unified Data Errors (UDEs) for Student and Section Course Data will be shown to LEAs in the Qlik application for most data in mid-October 2024.   

  • LEAs will include students enrolled at nonpublic schools in their Student and Section Course Data Collection reporting.  OSSE will share a Nonpublic Course Crosswalk with LEAs in November, and LEAs will use this to provide information about the courses in which these students are enrolled.  UDEs related to the information for students enrolled at nonpublic schools will be shown in Qlik in late November 2024. 

  • Nearly half of data transfer failures throughout the year are caused by connectivity issues, so make sure that the computer that hosts your ADT server is in a secure location and remains turned on. If you have questions about ADT or the transition to the 2024-25 school year, submit a ticket through the OSSE Support Tool (OST). OSSE continues its commitment to resolving OST tickets within five business days. 

Course Data Collection

  • LEAs will once again submit Course Catalog Collection data through the Integrated Data Submission (IDS) tool from July through August. In addition to mapping their own course catalog to the OSSE State Course Catalog V3, LEAs will submit data about their schools, such as key dates, schedule types and information about grading. 
     
  • The final Course Catalog Collection template is available for download and submission in the Integrated Data System (IDS) July 1—Aug. 23, 2024. LEAs will review and certify Course Data Collection information in Qlik by Sept. 6, 2024.  
     
  • LEAs can register for trainings and office hours about the course data collection process on the OSSE Learning Management System (LMS) site.
