Start of School Key Dates and Deadlines

OSSE Start of School Campaign

Below are the key dates and deadlines that your LEA should know about in order to prepare for a successful start of school with OSSE.

Deadline 45 calendar days prior to the start of school Data Complete LEA Data Mapping (LDM) Review. If you need a quick reference on how to complete this task, check out our online LDM YouTube training video. Starting July 1, the OSSE ADT team will be contacting LEA Data Managers to schedule a 30 minute meeting or call to assist with reviewing the LDM.
Deadline 30 calendar days prior to the start of school Data Complete Automated Data Transfer (ADT) Configuration call with OSSE ADT staff. Beginning July 1, the OSSE ADT team will be contacting LEA Data Managers to schedule a 30 minute meeting or call to assist with completing this task.
Deadline 30 calendar days prior to the start of school Data Complete LEA Feed Management (LFM) Review. This helps Data Managers identify and resolve data errors that prevent OSSE from pushing the data into the state systems. Beginning July 1, the OSSE ADT team will be contacting LEA Data Managers to schedule a 30 minute meeting or call to assist with completing the LFM review.
Deadline 30 calendar days prior to the start of school Data Complete SLED Data Review alongside OSSE ADT staff so that we can ensure your school’s SIS is connected correctly to OSSE’s data system. Beginning July 1, the OSSE ADT team will be contacting LEA Data Managers to schedule a 30 minute meeting or call to assist with completing the SLED Data Review.

Training (recorded)   Early Access Applications A refresher and overview of the Early Access to Students with Disabilities (SWD) Qlik Application was provided during the May 2020 LEA Special Education Points of Contact (LEA SE POCs) webinar. The training includes guidance for LEA-level Data Managers and SE POCs on how to use the data in the Early Access to Students with Disabilities Data application in QlikSense.
Training Summer 2020 Transportation Attend one of the mandatory (Transportation Online Tool for Education) TOTE trainings to receive important and updated information on entering data for students eligible for transportation service. Training will be offered virtually for better accessibility and reduce any in-person contact. Access to the application will be granted upon training completion. Register
Release Jan. 8 LEA Faculty & Staff Data Collection OSSE sent notification of changes related to the Staffing Data Collaborative Contract with TNTP earlier this year.
Training Feb. 27, March 3 LEA Faculty & Staff Data Collection OSSE held an engagement and information session with LEAs to ensure that staff are aware of changes and procedures for the 2020-21 school year data collection process.
Release March 1 Enrollment Audit Publication of the 2020-21 DC Residency Verification Forms and Residency Verification Review Aides.
Reminder March 27 Enrollment Audit Enrollment season begins and residency verification documentation collected and reviewed for new and returning students.
Release April 28 LEA Faculty & Staff Data Collection LEAs received the 2020-21 Faculty and Staff Collection Metrics with Dropdowns document to guide use of the collections template for the new school year.

Release May 5 Early Access Applications Release of enrollment data in 2020-21 High School Transition Qlik application
Release May 7 LEA Faculty & Staff Data Collection LEAs received the 2020-21 Faculty and Staff Policy Guide and other supplemental documents in early May.
Deadline June 30 Data Review the 2020 LEA Data Mapping (LDM) Collection template to familiarize yourself with the fields that your LEA will need to set up in your School Information System (SIS) for data mapping.
Deadline July 1 Data Update LEA points of contact in eSchoolPLUS to ensure timely and accurate communications.
Deadline July 1 Early Access Applications New LEA English learner (EL) coordinators are encouraged to attend the New LEA English Learner Coordinator Orientation, a “101”-style overview session. Participants will be introduced to OSSE’s EL policies and procedures, key resources and supports. New EL coordinators gain an understanding of LEAs’ legal responsibilities for identifying, serving and assessing EL students and next steps to start the school year off strong. Register
Training July 6, Aug. 3, Aug. 31 Grants Eligible LEA grant managers, academic program officers and fiscal leads are encouraged to attend one of the three training and technical assistance sessions offered in summer 2020 for an opportunity to learn more and get help in completing Title I of the Consolidated Application (ConApp). Register
Training July 9 Data LEA Data Managers listed in eSchoolPLUS are invited to monthly LEA Data Discussion Meetings to receive important updates and key announcements regarding data systems, processes, data collections, and training.
Training July 9, July 23, Aug. 13 Nutrition The Division of Health & Wellness will sponsor a biweekly call series throughout summer 2020 to provide stakeholders with updates and guidance, peer to peer sharing opportunities, and answers to questions regarding serving meals in the 2020-21 school year. Register
Deadline July 13 Data Reminder of year-end transition of OSSE data systems.
Deadline July 13 Grants FFY19 SOAR Academic Quality and Early Childhood allocations can be accessed on OSSE's website. Any funds allocated to an LEA that does not submit an application by July 13, 2020 will be reallocated to LEAs that apply.
Training July 13, Aug. 10, Sept. 3 Grants Eligible LEA grant managers, academic program officers and fiscal leads are encouraged to attend one of the three training and technical assistance sessions offered in summer 2020 for an opportunity to learn more and get help in completing Title II of the Consolidated Application (ConApp). Register
Deadline July 14, July 30, Aug. 11 Grants LEA staff responsible for IDEA planning and reporting are encouraged to attend a virtual IDEA training for training and technical assistance in completing the application. Register

Training July 20 Enrollment Audit New Enrollment Audit POCs must attend a mandatory introductory training on the enrollment audit and its application, purpose, and timeline. Other topics include the benefits of the audit for LEAs, audit preparation, and updates for 2020-21. Register
Training July 20 Enrollment Audit Returning Enrollment Audit POCs must attend a mandatory refresher training. Topics covered in the training include updates and guidance specific to the 2020-21 school year. Register
Training July 20 Grants Eligible LEA grant managers, academic program officers and fiscal leads are encouraged to attend one of the three training and technical assistance sessions offered in summer 2020 for an opportunity to learn more and get help in completing Title III of the Consolidated Application (ConApp). Register
Training July 21 Early Access Applications LEA Special Education POCs new to their roles for the 2020-21 school year need to attend orientation for an overview of roles and responsibilities, introductory information on relevant data systems and apps, basic knowledge of IDEA monitoring and special education policy, and methods for receiving ongoing support and communication. Register
Training July 21, July 28, Aug. 5, Aug. 13 Early Access Applications

In each of the four parts in this series on OSSE’s four foundational principles for EL policies and programs, participants will take a deep dive on each principle and gain strategies and tools for supporting the success of your school or LEAs’ EL students for the 2020-21 school year. LEA EL coordinators and any staff who work with EL students are encouraged to attend.

Training July 21 Transportation Any LEA transportation POC who has not yet been trained on TOTE 2.0 is required to attend an introductory session to become familiar with the platform. [Register] Additional training sessions will be held on Wednesdays throughout July and August.
Training July 21 Transportation LEA Transportation POCs in their role for two or fewer years must attend orientation training to learn about the LEA reimbursement policy, planning transportation services for eligible students, leveraging key data reports, and resolving data errors. Register
Training July 22 Early Access Applications

In the first of three SEDS train-the-trainer courses, LEA-level participants will be equipped with the knowledge and information required to provide on-site training for LEA staff and SpEd Teachers on SEDS eligibility.

Registrants for this course should already be experienced with SEDS and be prepared to serve as the trainer for the LEA.

Please note: Teachers should not sign up for this training.

Training July 22 Early Access Applications

In the second of three SEDS train-the-trainer courses, LEA-level participants will be equipped with the knowledge and information required to provide on-site training for LEA staff and SpEd Teachers on the IEP process.

Registrants for this course should already be experienced with SEDS and be prepared to serve as the trainer for the LEA.

Training July 23 Early Access Applications

In the third of three SEDS train-the-trainer courses, LEA-level participants will be equipped with the knowledge and information required to provide on-site training for LEA staff and SpEd Teachers on related service provision documentation.

Registrants for this course should already be experienced with SEDS and be prepared to serve as the trainer for the LEA.

Training July 27, Aug. 24, Sept. 14 Grants Eligible LEA grant managers, academic program officers and fiscal leads are encouraged to attend one of the three training and technical assistance sessions offered in summer 2020 for an opportunity to learn more and get help in completing Title IV of the Consolidated Application (ConApp). Register
Training July 28, Aug. 3 Data Orientation of LEA Feed Management; session will allow LEAs to view the status of the daily enrollment, demographics, contacts, attendance and adult program data feeds from the LEA student information system (SIS) to OSSE and assist LEAs in troubleshooting problems with the feeds. Register
Training July 28, July 30 Nutrition Attend one of the two federally-required annual National School Lunch Program trainings. Register
Training July 29 Early Access Applications The first in a three-part webinar series patterned after the new LEA Toolkit, this training will provide school leaders, SE POCs, and special education teachers with concrete resources that they can reference as they work to mitigate regression and plan for recovery for all students, including and especially those receiving special education services. This session will focus on balancing LEA discretion and flexibility. Register
Training July 30 Data LEA Data Managers listed in eSchoolPLUS are invited to monthly LEA Data Discussion Meetings to receive important updates and key announcements regarding data systems, processes, data collections, and training.
Deadline July 31 No Shots, No School Review the Immunization Policy for In-Person Attendance guidance and supplemental resource materials in full. For questions on immunization attendance policy, please contact [email protected]. For questions on immunization requirements and immunization data for District children, please contact DC Health.
Deadline July 31 No Shots, No School Assemble School Health Teams and begin reviewing school-level immunization compliance. Send notifications to all families regarding the new policy coming next school year (see OSSE's immunization page for sample letters and fliers).
Deadline July 31 and through the beginning of the school year No Shots, No School Identify and notify non-compliant families of any missing immunizations, giving them ample time to secure the necessary immunization documentation and present it to the school (see OSSE's immunization page for sample letters and fliers). DC Health will support this work over the summer by also notifying families that are overdue for immunizations.
Deadline July 31 Start of School Readiness 2020-21 School Year LEA Continuous Education & School Recovery Plans are due.
Training August 2020 Enrollment Audit Makeup comprehensive enrollment audit training session for new and returning.

Training Aug. 11 Early Access Applications

Kid Talk offers middle and high schools the opportunity to connect in person to review shared eighth grade data and offer insights to guide student-specific planning for rising ninth graders regarding. EL and SWD POCs are encouraged to attend.

The dates for this event are subject to change given the current school year end/start date ambiguities. The event will likely be held virtually, given the current social distancing recommendations - please check back for more information.

Deadline Sept. 30 Grants Preliminary LEA CARES-ESSER allocations are available here and LEAs have flexibility in how these funds are distributed across fiscal year 2020 (FY20), FY21 and FY22. Eligible LEAs may apply in the Enterprise Grants Management System (EGMS) now. LEAs wishing to spend funds in FY20 for costs incurred between March 13-Sept. 30, 2020, must submit an application by Sept. 30, 2020.
