- Each LEA must report their faculty and staff data to OSSE on an annual basis to satisfy federal and local reporting requirements. For the past five years, OSSE has relied on TNTP through the Staffing Data Collaborative (SDC) contract to collect the data from some LEAs. As a result of the SDC contract ending, OSSE will now collect the faculty and staff data from all LEAs via SLED.
- In contrast to previous years, OSSE will no longer collect faculty and staff data in one large file. Moving forward, the template will be broken down into the following role types: (1) Vacancy, (2) Teachers, (3) School Administrators/Related Service Providers/Special Education Paraprofessionals, and (4) All other staff.
- LEAs are required to certify their faculty and staff data by Friday, Oct. 30, 2020 through the Faculty and Staff Data Collection module in SLED. For a full list of data collection errors that will prevent the LEA from certifying or uploading data, please refer to the Faculty and Staff Data Collection Errors and Anomalies document.
- Multiple dropdowns have changed; please review the 2020-21 School Year Faculty and Staff Data Use and Dropdowns document as the system will reject the LEAs submission if non-allowable values are submitted.
- All LEAs are required to submit the Faculty and Staff data through the new Faculty and Staff Collection module in SLED.
- OSSE will implement data quality checks with specific requirements for each field and all submissions with invalid records will be rejected.
- LEAs are required to submit demographic information, including the full name, date of birth, and last four digits of the Social Security Number, for all instructional, administrative, and support staff in the LEA and school staff member, regardless if the position is filled by direct hire or by contracting.
- To comply with updated categories from the US Department of Education, OSSE has changed the way LEAs report the percentage of time special education teachers, related service providers, and special education paraprofessionals serve special education students from ages 3-5 and 6-21 to grades PK3-PK4 and grades K to 21 years old.
- LEAs are required to provide data for teachers that work with every grade level served at each school.

By submitting the information and completing the items in the checklist below, LEAs will ensure that they have met several of their federal and local reporting requirements in a timely and thorough manner.
- 2020-21 Faculty and Staff Collection Metrics with Dropdowns: The metrics and dropdowns document provides the names of each metric collected, description, use, and the list of allowable values.
- 2020-21 Faculty and Staff Data Policy Guide: The policy guide provides LEAs with a detailed description of the faculty and staff collection, purpose, processes, key deadlines, and requirements for each section.
- Common Core of Data Definitions of Staff Categories: The staff categories data definitions document provides the definition of each federal role.
- Faculty and Staff Data Collection Errors and Anomalies: The errors and anomalies document outlines the data errors and data anomalies the Faculty and Staff application will flag and the implications of each.
- (Coming August 2020) Faculty and Staff Collection Module User Guide: The collection module user guide will help LEAs navigate the new Faculty and Staff Collection Module.
- Federal Role Crosswalk: The crosswalk document gives examples of the federal roles previously submitted by DC LEAs in past collections.
- LEA Information Session PowerPoint: On Feb. 27 and March 3, OSSE engaged LEAs for feedback in the development plans of the Faculty and Staff data application. During the sessions, OSSE shared information about the changes we are making regarding the collection and requested feedback and insight to inform our development plans.
