On May 16, 2016, OSSE opened a comprehensive demographic data verification window. The verification will run from now through June 15, 2016 and the data verified will be used for reporting purposes for multiple projects including but not limited to the following:
- The 2015-16 Equity Reports metric calculations;
- The 2015-16 assessments including PARCC, MSAA, and DC Science;
- Adjusted Cohort Graduation Rate (ACGR) calculations;
- The 2015-16 Charter Performance Management Framework (PMF);
- Review and renewal data analyses completed by the District of Columbia Public Charter School Board (PCSB); and
- To populate the local education agency (LEA) Membership application for the 2016-17 and thus be used as preliminary authoritative demographics.
This verification will streamline these collections and enable consistency of demographic data for multiple purposes. It is also a crucial dependency for timely release of PARCC assessment results as well as for the PMF and other projects as outlined above. This consolidated verification will require significant energy and resources to conduct successfully and OSSE wants to ensure LEAs are aware and prepared for the upcoming effort. This verification is intended to both lessen the burden on LEAs by decreasing the number of times LEAs have to verify students’ demographics and also improve data quality by reducing instances of data discrepancies and errors thus decreasing the number of times LEAs must appeal for corrections to data errors.
In order to support LEAs with this process, OSSE will provide the format for the verification in advance and will provide opportunities for training and support throughout the process. The data verification template [XLS] and guidance document [PDF] are now available for LEA review. Please note that the data files will be available for LEAs to download from OSSE’s secure website on May 16 and that in addition to the student level data tab, the data files delivered will also include LEA level summary data to assist LEAs with the verification effort. Additionally, OSSE will host two training webinars at the beginning of the verification window.
Finally, OSSE will host virtual office hours during the month of the verification window on Wednesdays from 1-2 p.m. to address any LEA questions or impediments that arise while verifying the data.
